Data Protection and handling/ICO Policy

 

Why I collect information 

There is a need to collect certain personal and non-personal information from participants and their carers, if applicable, when they book a service using the Booking Form. This is so I can:

• Provide a safe, inclusive and developmentally enriching environment catered to the needs of all 

• Keep you informed via email or telephone about changes to sessions or future events (but you always have the right to opt out of this type of communication at any time by emailing info@wildmindsforestschool.co.uk)

• Contact you in the case of an emergency

• Share relevant information about a participant with third parties in the case of an emergency (but otherwise information will only be for use by myself or other staff only)

• Comply with any applicable laws and regulations 

 

The categories of information I may collect are:

• Personal information such as name, age, gender, home and email address

• Details of the participant’s carer(s)

• Attendance information (sessions attended)

• Relevant medical information and dietary requirements

• Special educational needs

• Behavioural observations/information

I treat any personal information (which means data from which you can be identified, including your name, address, e-mail address, etc.) that you provide me, or that I obtain from you, in accordance with the provisions of the Data Protection Act. Under this Act, I have a legal duty to protect any information I collect from you. Any amendments to this policy will continue to be in accordance with the provisions of the Data Protection Act 2018.

I will process personal information in line with the Data Protection Act. This means that I will:

 

• Only collect and hold information which I need for a specific reason and use it fairly, lawfully and transparently;

• Keep information up to date and accurate (to help me do this, please let me know if any details change via info@wildmindsforestschool.co.uk);

• Take appropriate steps to protect personal information from being used without permission, or illegally, and to safeguard rights; and

• Keep information only as long as I need it

• handle it in a way that ensures appropriate security, including protection against unlawful or unauthorised processing, access, loss, destruction or damage

 

Your rights

In line with GDPR, it is your right to request a copy of the data I collect or have it erased at any time.  You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you. If you wish to make either of those requests, please email info@wildmindsforestschool.co.uk and I’d be happy to help.

 

How I store, use, share and disclose your personal information

Wild Minds Forest School  is hosted on the Wix.com platform. Wix.com provides me with the online platform that allows me to sell my services to you. Your data may be stored through Wix.com’s data storage, databases and the general Wix.com applications. They store your data on secure servers behind a firewall.  

All direct payment gateways offered by Wix.com and used by Wild Minds Forest School  adhere to the standards set by PCI-DSS as managed by the PCI Security Standards Council, which is a joint effort of brands like Visa, MasterCard, American Express and Discover. PCI-DSS requirements help ensure the secure handling of credit card information by my store and its service providers.

In addition, on occasions I may store personal and booking information on a password protected Google spreadsheet which only I have access to. 

 

How I use cookies and other tracking tools

Cookies are small pieces of data stored on a site visitor's browser. They are used to keep track of the settings users have selected and actions they have taken on a site.

My Wix website uses essential cookies for important reasons, such as:

• To identify my registered members

Privacy policy updates

I reserve the right to modify this privacy policy at any time, so please review it frequently. Changes and clarifications will take effect immediately upon their posting on the website. If we make material changes to this policy, I will notify you here that it has been updated, so that you are aware of what information I collect, how we use it, and under what circumstances, if any, I use and/or disclose it. 

Photo and Video permissions

Permission will be requested via the Booking and Consent form for photos, videos or sound recordings to be taken during forest school sessions. Where permission is refused, we will aim to avoid photographing that individual and/or crop them out wherever they do appear. 

Photographs are taken for the purposes of education, publicity and keeping a record of an individual’s forest school journey. They are taken on the safeguarding leads’ phones on the day then transferred to the leads’ computer onto Google photos, a password protected platform, and permanently deleted from the phone. They are kept until they are no longer needed and are then permanently deleted.
